Before SeedOS

What Casa was juggling.One project across two continents.

Casa runs custom residential and light-commercial builds across Costa Rica, with operations split between the San José job sites and the Quebec back office. Before SeedOS, that meant five separate problems, and a lot of Excel.

Three spreadsheets per project.

One for the budget. One for the POs. One for the subs. Every new project spawned three new files, and every reconciliation took a human day.

30-day lag on every number.

Field spend was recorded on paper, typed into QuickBooks a week later, reconciled against the budget at month-end. PMs were bidding Job 4 on Job 1 stale data.

Two accounting systems.

One for Costa Rica. One for Quebec. Neither talked to the other. Consolidated reporting was a manual Excel merge every Friday.

Translation drift on every document.

Specs went out in English. Contracts came back in Spanish. RFIs landed in French. Translation errors showed up in the margin line.

Sub coordination by group chat.

WhatsApp threads per project. Five subs, five threads, no audit trail. When a delivery slipped, nobody could prove what anyone agreed to.

01Week 1

Kickoff + data import.

Existing projects, historical POs, vendor list, sub roster. First dashboard live Friday. The Quebec and San José teams both logged in before the weekend.

02Week 2

Procurement + budgets live.

POs flowing to vendors. Field spend hitting the job cost the same day it was approved. The 30-day lag was gone by Monday of week 3.

03Week 3

Subs + drawings portal.

COIs tracked. W-9s on file. Every sub saw only their own jobs. Drawings searchable by sheet number, room, and revision, in English and Spanish.

04Week 4

Running on SeedOS.

Legacy spreadsheets archived. QuickBooks in sync. Multi-language UI verified with the full team. Casa was officially on one operating system.
